Booking & support

  • Once we received your request, our Customer Success team will get in touch with you within 1 hour. We will then provide you with an individual offer tailored to your requirements. If you wish to make any adjustments, we will be happy to support you in any way. Once you are satisfied, you can simply accept the offer and sign digitally. This concludes a binding booking of your event. We look forward to organising a special event together with you!

  • Once you have sent us your request, we will inform you immediately about the availability of the room in question. If your preferred room is already booked, we will be happy to suggest alternatives. You can count on our support!

  • During our regular working hours, Monday to Friday between 9 am and 5 pm, we will normally reach out to you personally within just one hour. On the phone we are of course immediately available and look forward to talking to you!

  • We are flexible and always try to cater to your special wishes. Please call +49 89 12085969 and let us know about your requests. We are happy to help.

  • For large events, we recommend booking at least 6 months in advance. Smaller meetings of up to 50 people should ideally be planned 2-3 months before the actual date. But don't worry, we can also realize almost any event format at short notice, subject to availability.   • In general, you can plan your event with us 7 days a week, with very few exceptions (e.g., during the Christmas season). For special offers, please call our Customer Success Team directly at +49 89 12 08 59 69. We love to help you plan your special event!

  • Yes, one of our experienced project managers will always be available to you and support you in the planning and implementation of your event. You can enjoy some peace of mind, as everything will run smoothly and your event will be a complete success!

  • If you wish, you can book your personal event manager, who will provide you with individual support during your event. Our Customer Success team will be happy to advise you in advance during the offer process. We look forward to providing you with the best possible service.

  • Our friendly hospitality team will be on hand to support you throughout the event and will answer any questions within 1 minute. We always strive to make your stay as pleasant as possible!

  • smartvillage is always there to support you: from the initial contact to everything relating to your event. We advise you on the various forms of events and cater to your wishes with heart, mind and more than 7 years of smartvillage experience. Thanks to our constantly growing network of keynote speakers, moderators, coaches, technical partners and team building experts, we offer you comprehensive support and creative solutions for every event.

  • For changes or cancelations, please contact us in a timely manner by e-mail or telephone. Together, we will find the best solution for your needs.

  • Payment will be made by invoice after your event. We require a deposit of 50% for amounts over 5,000 euros. You can find all the details on payment methods and cancellation conditions in our terms and conditions. If you have any questions, please do not hesitate to contact us!

  • Cancellation fees may apply depending on the time of cancellation. Please contact our Customer Success team by telephone on +49 89 12 08 59 69. We are here to help you and find a suitable solution!

  • Additional bookings on the day of the event are generally possible, subject to capacity and availability. We are quite flexible and do our best to fulfill your wishes. Please get in touch with us and we'll see what we can do for you!

  • Our hospitality team looks will welcome you on your arrival and accompany you to your room. It is especially important to us that you feel comfortable right from the start and that everything runs smoothly. Please do not hesitate to contact us if you need anything or have any questions during your stay.

  • Yes, you can find more information on exclusive bookings in the relevant section of our website. You can find out about the various possibilities of organising your special event exclusively with us. Take a look and be inspired!

  • If available, we can arrange the booking of additional rooms and services for you. Just reach out to us and we'll make sure you get exactly service you need.

  • Most of our rooms are barrier-free so that you and your guests can enjoy a pleasant stay. If you have any questions or specific requirements, please do not hesitate to contact us!

    M-Bogenhausen: completely barrier-free and accessible via an elevator.

    M-Schwanthalerhöhe: a stair lift can be rented, but the first floor here is generally accessible. Please note that there is no disabled toilet at Schwanthalerhöhe.

  • Yes, our premises have only a few steps and are equipped with elevators. We want to make sure that all guests feel comfortable with us and have easy access to the event rooms. Please let us know your special needs — we are here to help!

  • Although we do not offer special childcare, we offer you the possibility to book a room for this purpose. This way you can make sure that even the little ones are well looked after.

  • You can book a mobile stage via our tech company. We are flexible and want to ensure that your event is perfectly equipped.

  • Basically, our premises are reserved for company events. Private parties are only possible by arrangement and with a full deposit. Please note that all quoted prices are excluding VAT. If you are interested in hosting a private party, please contact us. Together we will find the best solution for your event!

  • We don't have fixed closing hours. If you have any special requests regarding the event schedule, just let us know. We are flexible and will do our best to meet your requirements!

  • We appreciate joint cleaning efforts, but it is not a must. We want you and your guests to feel completely at home.

Outdoor area

  • Most, but not all, locations have outdoor areas. The outdoor area is open until 10 pm. We can offer you and your guests a beautiful atmosphere outside, too. Please let us know you have any special requests.

  • Unfortunately, open fires are not permitted on the terrace or in the garden. Your safety and that of our guests is our top priority. If you have alternative ideas for an atmospheric ambience, we will certainly find a great solution.

  • The capacity of the terrace varies depending on size and location. If you have any questions about capacity or require further information, please contact us at any time!

Equipment

  • Yes, all our conference rooms are equipped with a projector, screen and presentation material. We also offer standard furniture in the desired setup to ensure that your event runs smoothly and your requirements are met. Please do not hesitate to inform us about any specific requirements you might have.

  • Yes, and we also provide additional multiple sockets if required. We want to ensure that all technical requirements for your event are met and provide additional support if needed.

  • Free Internet is available in all our locations. You and your guests can always be online to support your event in the best possible way.

  • Sure, you can celebrate with us! We will provide you with catering, beverages and staff. If required, we can also arrange a DJ to get your party started! We want to make sure your party is a great success, so let us know how we can help to make it unforgettable! Depending on the location, there are different noise levels and times that must be observed. Please talk with your contact person for more information.

  • No problem! Just let our Customer Success team know your wishes and we will be happy to adapt the seating to your needs. We want to make sure that every aspect of your event is perfectly tailored to your requirements.

Amenities

  • Coat racks are available in our locations. If required, you can book additional lockable rooms. We want to make sure that your guests can store their personal belongings safely.

  • This depends on your requirements. Public coat racks always available. If required, a private cloakroom with staff can be booked to store additional personal items. We're sure to find the right solution for you!

  • Reception desks and check-in counters are always available. We want to make sure that your guests receive a warm welcome and that everything runs smoothly.

  • In each of our locations, there are enough toilets for all our guests. All our toilets are accessible to disabled people.

  • Please note that smoking is only permitted in the outdoor area during special hours. We place the highest priority on your safety and the well-being of all guests, which is why smoking is only permitted outdoors. We ask for your understanding and cooperation to ensure that all guests feel comfortable with us. 

Services (Catering, Technology etc.)

  • While catering is optional, we would like to point out that a beverages flat rate (half-day or full-day) is obligatory. We want to make sure that your guests are always supplied with refreshing beverages and can enjoy their time with us to the full. If you have further questions or specific requirements regarding the catering, please do not hesitate to contact us.

  • We have a dedicated technology partner for each location. You are welcome to bring your own technician. In that case we will charge you with an additional 10% of the total offer.

  • Due to our exclusive contracts with catering companies, it is only possible to book catering through smartvillage. We want to ensure that your event meets the highest culinary standards, so we place great importance on high-quality, fresh, and sustainable catering with vegan and vegetarian options. The exclusivity is lifted only if our caterer cannot meet specific requirements, such as kosher food.

  • We will be happy to prepare a champagne reception for you and your guests. We want to make sure that your event starts with a special reception and that your customers / employees / guests feel welcome right from the start.

  • smartvillage will be happy to support you with giveaway items in agreement with our project managers. Please contact us so that we can discuss your wishes and select the best giveaway items for your event together.

  • We offer a wide range of technical equipment, including projectors, microphones, speakers, screens and much more. Please our equipment page for the detailed list. We want to make sure that your event has all the technical backup it needs and that all your requirements are met.

Miscellaneous

  • You can find photos of our events on our website, on Instagram or on request. We want to make sure that you get an insight into the special moments of our events and can feel the atmosphere. Please let us know if you wish to see more photos or if you have specific questions.

  • Your own decoration or branding is only possible with an exclusive booking. We want to make sure that your event is configured exactly according to your ideas and are ready to fulfil your individual wishes.

  • Our relaxed and creative atmosphere allows for unique experiences and memories that will make your event special.

  • Yes, you can also host your event outside our regular opening hours in the evening.

  • We try to keep food waste to a minimum and offer take-away containers for our guests. Leftover food will be offered to our employees or donated, depending on the location. But unfortunately, we sometimes have to throw away food.

  • Please send us your inquiry, we are open to various types of events.

  • You are welcome to take pictures or record a video of our premises during your stay or a personal visit. Please observe the legal regulations regarding the personal rights of other guests and employees at smartvillage.

  • In the event that you have forgotten something, please get in touch with your contact in the Customer Success team. We are happy to take care of your matter and collect all items left behind after events.

HR

  • We offer a very warm welcome to all people, regardless of origin, gender, age, sexual orientation or other characteristics that set us apart from each other.

  • We like to give young people a great chance. So yes — some of our staff you might interact with in the locations is probably in training. They are doing a dual training programme in event management, whereby we work together with the “Studieninstitut für Kommunikation” (Institute for Communication Studies). This is a full-time training at smartvillage, with lectures held by the Studieninstitut four times a year. After successfully completing their training, our trainees receive an IHK qualification as an event manager and an additional certificate from the Studieninstitut. We also offer the training as “Office Management Clerk”, which takes place regularly via the IHK (Chamber of Industry and Commerce).

  • The needs and wishes of our employees are very important to us, which is why we have developed various benefits: in addition to two team events a year and regular afterwork events, we offer our employees participation in our bonus programme, an annual training budget of €2,000, membership of the Urban Sports Club, corporate benefits and free beverages in the office. Depending on the role, home office work and workations are of course also possible. Furthermore, we use DYNO as a digital solution for company pension plans. If you already have a company pension plan, please let us know and we will check together whether you can transfer it!

  • Depending on the location, we offer parking spaces, public parking facilities and underground garages. Please see our location portfolio for details.

  • This depends on the location. We take great care to ensure that our locations can be easily reached by public transport, car or bicycle.

  • Yes, we make sure that hotels are in the immediate vicinity when choosing a location.

  • We strive to offer hotel partnerships at all locations; you can find these in the location portfolio

Pets / dogs

  • We love animals, but we understand that not everyone feels equally comfortable with dogs around. For this reason, we unfortunately cannot allow dogs in our locations.

  • The arrangement is free of charge for you.
